Virtual Assistant
Job Description:
Our client in Canada helps leadership teams codify the knowledge that makes their business work. We build structured business playbooks, refine processes, and turn operational chaos into clarity. Their clients are primarily in Canada and the U.S., and they currently operate in a remote-first, async environment.
They were recently awarded the Emerging Business Award by the Cochrane & District Chamber of Commerce, recognizing our commitment to excellence, client impact, and the strong growth of our proprietary Control Shift approach.
They are looking for a South Africa based Virtual Assistant who can support documentation, formatting, content structuring, and general admin tasks that feed into our playbook development process.
Role Overview
This role supports the creation and maintenance of client playbooks, SOPs, and operational documentation. You will take inputs from multiple client stakeholders and transform them into clean, consistent, well-structured content using the company templates and guidelines.
This is an entry-level to mid-level position with a clear growth path into more responsibility as the company expands.
Work Arrangement
- Hours: 10 hours per week to start
- Compensation: $500 CAD per month
- Type: Part-time, remote
- Schedule: Flexible but must be consistent and communicated weekly
- Growth Path: Can increase to 20 - 40 hrs/week based on performance and operational workload.
Core Responsibilities
- Documentation & Content Structuring
- Format raw content from client interviews, Word docs, videos, transcripts, and SOPs
- into structured playbook templates
- Ensure layout, formatting, tone, and structure are consistent with Expansive EDGE or
- Client standards
- Insert media (diagrams, screenshots, charts, icons) into playbooks
- Clean and organize content in our knowledge hubs (Trainual, Whale or similar)
- Review process maps and convert them into clear SOPs
- Admin & Operational Support
- Capture and organize data from different inputs
- Follow documented workflows and naming conventions
- Prepare client-ready versions of documents
- Use our internal ChatGPT Teams workspace to produce:
- First-draft SOPs
- Rewrites of client-generated content
- Standardized versions of operational material
- Quality & Consistency
- Maintain high accuracy and attention to detail
- Ensure all documentation is logically structured and easy to navigate
- Apply templates exactly as specified
- Communication Requirements
- Asynchronous Updates
- Provide a short daily or session-based screen recording showing:
- Work completed
- Where you are in the workflow
- What youll do next
- Communicate your weekly work schedule in advance
- Flag blockers before they slow the project
Availability
- Maintain a predictable routine
- Respond within agreed time windows
- Comfortable working async with a North American-based team
- Be available for a weekly online meeting with our team
Required Skills
Technical Skills
- Strong Microsoft Word and Google Docs formatting
- Comfortable working in and developing structured templates
- Ability to read and interpret process flows/diagrams
- Familiar with Trainual, Whale or similar SOP tools (preferred, or willing to learn quickly)
- Competent with AI tools such as ChatGPT for content drafting and rewriting
- Solid file organization, naming/numbering, and version control habits
Soft Skills
- Strong attention to detail and accuracy
- Reliable, consistent, and self-managed
- Able to follow documented processes
- Clear communication in writing and video/screen recordings
- Positive attitude and willingness to learn

Equipment & Workspace Requirements
Mandatory
- Stable, uninterrupted high-speed internet connection
- Sufficient for video uploads/downloads, cloud platforms, and larger file transfers.
- Own computer
- MacOS is preferable
- Windows is acceptable if performance is reliable (no low-spec/slow machines)
- Secure, private, and ergonomic workspace setup
- Quiet environment suitable for focused work, with no interruptions during scheduled
- hours.
- Audio and camera setup for online meetings and screen recordings
- Clear microphone and camera (built-in or external). No background noise.
- Reliable power availability
- Ability to work through moderate load-shedding (e.g., UPS or alternative solution).

- Not client-facing at this stage
- Not a role with shifting or ambiguous expectations - our processes are clear
- Not a full-time employment role (you will not be on our payroll)
