Facilities Manager - Cape Town

 Job Description:

The Facilities Manager will be responsible for a broad range of facilities management, administrative, technical, and support functions within the Property Management department. In essence, this entails leading and managing a portfolio of buildings as well as an FM Team who support the specific portfolio and management of the properties, day by day.

RESPONSITILITIES

Facilities Management:

  • Contracts management: The Facilities Manager will need to be knowledgeable on managing Lease Agreements, conditions, and SLA management of internal and external service providers.
  • Proactively Manage the scope of works and ensure services are delivered as per the Lease Agreement.
  • Manage and monitor the facilities coordinators to ensure delivery of the agreed KPIs.
  • Ensure the service level agreement, quality, and standard of work are delivered.
  • Ensure that building maintenance is up to date and within prescribed turn-around times.
  • The ppm schedules are actioned.
  • Conduct site inspections.
  • Ensure the appropriate quality checks are done on maintenance and repairs.
  • Monitor and report on any deviations of the lease conditions.
  • Handle tenant complaints and/or redirect appropriately, according to Management requirements.
  • Ensure meetings are conducted with the tenants, as per the agreed timeline frames.
  • Ensure all personnel allocated to the relevant sites are managed and have a clear understanding of their deliverables.

Customer Service Management:

  • Visit tenants within the portfolio.
  • Establish and maintain mutually beneficial relationships with tenants.
  • Communicate with tenants to ensure day-to-day satisfaction.

Reporting:

  • Prepare and supply accurate monthly reports as required for the purposes of management reporting.
  • Ensure monthly readings are submitted to the relevant department.

Utility & Management:

  • Ensure that any faults and tampering are reported.
  • Report on receipt of disconnection notices.

Risk Management:

  • Ensure compliance with relevant Acts.
  • Proactively control, manage, and govern the processes and systems within the areas of accountability, to ensure compliance and minimise business risk.

Qualification

  • 3-year Diploma/Degree in a related field in Property Management, Real Estate, or Business Administration
