Job Title: USA Documentation Specialist

Job Summary

We are seeking a highly skilled and experienced professional to manage and oversee all USA trade documentation processes. This role requires expertise in AMS filing, export compliance, and coordination with agents and internal teams to ensure smooth and compliant shipment handling for USA trade lanes. The candidate must be proactive, detail-oriented, and capable of leading documentation processes independently.

Key Responsibilities

  • AMS Filing: Manage and submit AMS (Automated Manifest System) filings in-house with accuracy and timeliness.
  • Export Documentation: Handle all USA export-related documentation and ensure compliance with U.S. Customs regulations and carrier requirements.
  • Pre-Alert & ISF Coordination: Prepare and send pre-alerts to USA agents to facilitate their ISF (Importer Security Filing) process.
  • Process Oversight: Lead and supervise the end-to-end documentation process for USA shipments, ensuring deadlines and compliance are consistently met.
  • Team Collaboration: Coordinate closely with the Customer Service (CS) team to align operations, provide guidance, and troubleshoot issues related to USA shipments.
  • Compliance & Accuracy: Ensure all documentation follows legal, carrier, and client requirements; maintain records for audits and reporting.
  • Training & Knowledge Sharing: Provide direction and support to team members regarding USA trade documentation best practices.

Qualifications

  • Minimum 3-5 years of direct experience in USA documentation and export processes.
  • Strong knowledge of AMS filing, ISF process, and USA Customs regulations.
  • Familiarity with freight forwarding, shipping line, or logistics company workflow.
  • Excellent communication and coordination skills for working with internal teams and overseas agents.
  • High attention to detail and strong organizational skills.
  • Ability to work independently and take ownership of the USA trade documentation process.

Preferred

  • Previous experience in a freight forwarding or NVOCC environment.
  • Knowledge of U.S. compliance platforms and tools (e.g., Descartes, INTTRA, or similar).
  • Leadership experience in guiding or training a small team.
