Job Summary

The position is a critical strategic position reporting directly to the Owner / Top Management, providing high-level support in organizational governance, business analysis, and enterprise-wide project execution.

This role serves as a central coordination and control function for strategic initiatives, ensuring that management direction is effectively translated into structured execution across all departments. The position is responsible for monitoring organizational performance, tracking strategic priorities, and maintaining alignment between operational activities and executive objectives.

Acting as a trusted representative of the Owner in assigned matters, this role is designed for high-potential professionals with strong analytical capability, business acumen, and the maturity to handle responsibilities beyond a conventional executive assistant or junior management role.

This position does not focus on client acquisition or sales activities. Instead, it plays a pivotal role in business insight generation, operational control, cross-functional coordination, and execution excellence, directly contributing to organizational effectiveness and strategic decision-making at the highest level.

Key Responsibilities

A. Business & Performance Analysis

  • Analyze shipment data, costing structures, gross profit (GP), and operational performance across business units.
  • Prepare management-level weekly and monthly reports with clear insights and recommendations.
  • Develop and maintain dashboards and data visualizations for executive review.
  • Identify trends, risks, gaps, and improvement opportunities to support decision-making.

B. Strategic & Business Development Support (Non-Sales)

  • Conduct market, industry, and competitor analysis (rates, services, positioning).
  • Support feasibility studies for new routes, services, partnerships, or business initiatives.
  • Prepare executive presentations, strategic summaries, and proposal materials.
  • Consolidate data and inputs from internal departments for strategic evaluation.

C. Project Control & Coordination (Key Role)

  • Act as a project tracking and control center for cross-functional initiatives.
  • Monitor timelines, deliverables, responsibilities, and KPIs of assigned projects.
  • Follow up with department heads and teams to ensure execution aligns with management direction.
  • Identify project risks, delays, and misalignment, and report directly to management.
  • Support process improvement, workflow redesign, and operational efficiency initiatives.

D. Executive & Management Support

  • Prepare executive meeting agendas, materials, summaries, and action-point tracking.
  • Present analysis and insights in a clear, structured, and management-ready format.
  • Coordinate and communicate professionally with internal teams and external partners when required.
  • Represent or act on behalf of the Assistant Managing Director in assigned tasks, meetings, or follow-ups.
  • Serve as a trusted support role in translating management direction into actionable execution.

Qualifications

  • Bachelors degree in Business Administration, Management, Economics, Data Analytics, Statistics, Supply Chain, or related fields.
  • Strong analytical and structured thinking with high proficiency in Excel / Google Sheets.
  • Ability to understand organizational management, workflow, and cross-functional operations.
  • Basic knowledge of data visualization tools (strong willingness to learn quickly)
  • Professional communication and presentation skills; confident in dealing with management-level stakeholders.
  • Highly responsible, detail-oriented, proactive, and able to work under pressure.
  • Fast learner with strong ownership mindset and ability to handle sensitive information.
