HR Executive (1 year Contract Role )
Job Description:
Talent Acquisition
- Manage the full talent acquisition lifecycle, including manpower requisitions, job postings, sourcing, screening, interviewing, and offer coordination.
- Partner with hiring managers to understand staffing requirements and hiring timelines.
- Ensure talent acquisition processes adhere to fair employment practices, equal opportunity principles, and organizational policies.
- Source candidates through existing recruitment sources e.g. recruiters, online job portal, website, LinkedIN, etc.
- Coordinate and facilitate interview sessions together with hiring managers to evaluate candidate on job and culture fits, and to mentor hiring managers on fair employment practices.
- Ensure all interviewers complete the recruitment evaluation form.
- Maintain accurate talent acquisition records, trackers, and candidate databases.
- Conduct reference check with the designated employer provided in the letter for consent signed by new hire.
- Arrangement for new hires to receive pre-employment medical examination.
- Deliver a positive and professional candidate experience throughout the hiring process.
Onboarding
- Coordinate end-to-end onboarding processes for new hires.
- Prepare and manage employment-related documentation, including salary proposal, offer and appointment letters.
- Ensure all onboarding documents are collected from new hires and upload to e-Pfile at HRIS.
- Liaise with internal stakeholders (IT, Administration, Payroll) to ensure onboarding readiness.
- Check data entry of new hire's particulars by Executive, HR (Shared Services) in HRIS to ensure that entry is accurate for safekeeping and payroll processing.
- Conduct orientation and office tours for new hires.
- Activate and manage the 30-day and 90-day new hire survey.
- Conduct 30-day and 90-day reviews with new hires
- Prepare and submit a 30-day onboarding report to hiring managers, highlighting how well new hires are settling in and identifying any concerns or support required.
- Escalate key issues and recommend follow-up actions where necessary to support retention and engagement.
- Administer confirmation matters for new hires.
Offboarding
- Coordinate end-to-end offboarding processes for resigning or departing employees.
- When retention is not applicable, prepare Acceptance of Resignation letter and inform reporting officer on the leave balance to work out the last day of service.
- Inform shared services on the confirmed resignation for payroll and offboarding processes (IT, Administration).
- Send out written notice to inform resignee on his/her last day, leave balance, exit clearance, last salary payment and exit interview.
- Activate exit interview survey for resignee to completed before the exit interview date.
- Conduct exit interviews and prepare exit interview reports for management review, highlighting insights and recommendations.
- Ensure completion of offboarding documentation, system access removal, and asset return.
Others
- Provide assistance in organizing staff events.
- Any other related duties as directed by the said reporting officers
Qualifications
Degree, preferably in Human Resource or Business management with at least 1-3 years of experience in recruitment and onboarding.
