Admin Executive Cum Receptionist

Basic up to $3500 + VB

Job Responsibilities

  • Admin Executive cum Receptionist
  • Operate the telephone system, answering visitors' inquiries about the company/services, relay incoming calls, takes messages.
  • Attend and direct clients and visitors.
  • Arrange for local and overseas courier.
  • Retrieve mails from letterbox and disseminate to staffs.
  • Assist to serve drinks to guest and assist when require. ( e.g: require printing, provide stationery, wifi and video conferencing connection)
  • Manage and provide guidance on the day-to-day running office cleaners.
  • Maintain and improve all admin filling system such as contacts, agreements, insurance, quotation, etc.
  • Responsible for performing key management duties such as assigning, distributing, collecting, duplicating office keys and maintaining the master key box and proper records.
  • Co-ordinate and supervise office/ facilities maintenance work including pest control, plant maintenance, equipment (aircon, copiers, bulb replacement, water, coffee dispenser, servicing of fire extinguishers and safety equipment).
  • To co-ordinate, monitor, maintain and procurement of office supplies (office collaterals, stationery, medical items, stationery, paper and pantry items).
  • Prepare starter pack (Stationery pack, Staff ID card & name plate) and ensure workstation is ready for new joiner.
  • Exit clearance for resignee inspection of resignee table and collection of unused stationery and pedestal key.
  • Responsible for the cleanliness and tidiness of reception area, pantry, boardroom and meeting room.
  • Assist in the coordination of any company or staff-related events.
  • Other ad-hoc duties as assigned.

Job Requirement

  • Minimum GCE O Level with at least 3-5 years of relevant work experience.
  • Independent, meticulous with an eye for details
  • Self-motivated, mature, resourceful and adaptable
  • A positive work attitude and willingness to learn
  • Good organisational, good communication & interpersonal skills
  • Proficient in MS Office
