SEnior Executive Assistant- Union Office
Job Description:
This role entails being the main coordinator in the team to manage team meetings, events and resource distribution.
Staff will also be an important pillar of administration through providence of support, contributing to smooth operations of the department.
Job Responsibilities
- Attend and provide administrative and logistical support in meetings, events, and training courses as required
- Coordinate and provide administrative and logistical support for monthly Branch Meetings
- Put up IR grievance form for cases and document enquiries from members to be passed on to IRO
- Demonstrate basic advisory and guidance to members on IR cases and enquiries
- Coordinate meetings between member, IRO, and Chairperson of the hospital
- Maintain good records of IR cases filed in the office in accordance with the PDPA Act
- Processing of new NTUC membership forms and updating of members' personal particulars onto UCEM system in accordance with the PDPA Act
- Initiate and support recruitment efforts (e.g. Roadshows and staff orientations) to increase the membership base of AH:
- Prepare relevant forms for roadshows and staff orientations
- Be familiar and updated with the latest promotions and benefits of union membership
- Promote union membership to potential union members
- Demonstrate effort to retain members who have expressed intention to terminate their membership
- Timely and accurately follow-up with recovery of arrears and termination of membership requests
- Attend to phone calls and walk-ins professionally on union related matters
- Collect, tally, and record all cash and electronic payment collections accurately and timely for submission to Finance
- Timely and accurate processing of membership GIRO payments and updating records on UCEM system in NTUC
- Design posters and share with members upcoming activities through email, social media, and other communication tools
Requirements
- Minimum GCE O level or Diploma in any field
- Preference for candidates with at least 2 years of administrative work experience
- Good computer skills in Word, Excel and Power Point.
- Good communication and interactive skills.
- Able to work independently.
