Procurement & Logistics Intern

Summary:

The Procurement & Logistics Intern will support the organization's supply chain operations by assisting in sourcing materials, managing purchase orders, tracking inventory, and coordinating logistics.

The role provides hands-on exposure to the end-to-end procurement cycle within a manufacturing environment, ensuring that production processes are continuously supported through timely availability of materials and efficient distribution of finished goods. The internship will run for 3 to 6 months. The role will report to the Procurement Manager and will work closely with teams in the Production Department, Supply and Logistics teams as well as Warehouse and Inventory Management teams.

Key Responsibilities:

1. Sourcing & Supplier Support

  • Research and identify potential suppliers for specialized printing consumables such as paper, ink, and plates.
  • Assist in obtaining and comparing quotations to ensure competitive pricing and quality.
  • Support supplier evaluation and onboarding processes.

2. Order Management

  • Assist in the preparation and issuance of Local Purchase Orders (LPOs).
  • Track purchase orders from placement through to delivery.
  • Follow up with suppliers to ensure timely fulfillment of orders.

3. Inventory Control

  • Participate in routine stock-taking activities.
  • Update and maintain inventory records in the system.
  • Support reconciliation of physical stock with system records.
  • Assist in monitoring stock levels to prevent shortages or overstocking.

4. Logistics Coordination

  • Liaise with transporters to coordinate delivery of finished products to clients.
  • Support scheduling and tracking of outbound deliveries.
  • Ensure timely and accurate dispatch of goods.

5. Record Keeping & Documentation

  • Maintain organized digital and physical records of procurement documents including quotations, invoices, and delivery notes.
  • Ensure documentation is complete and audit-ready.
  • Support data entry and filing activities.

6. Supplier Relations Support

  • Assist in maintaining and updating the pre-qualified supplier database.
  • Follow up on overdue deliveries and resolve documentation discrepancies.
  • Support communication with vendors to ensure smooth procurement processes.

Qualifications, Key Skills & Competencies

  • Academic:
    • Currently pursuing or recently completed a Diploma or Degree in Procurement, Supply Chain Management, Logistics, or a related field.
  • Technical Skills:
    • Proficiency in Microsoft Excel for data management and reporting.
  • Communication Skills:
    • Strong interpersonal skills for engaging with suppliers and internal teams.
  • Attention to Detail:
    • High level of accuracy in reviewing purchase orders, invoices, and delivery notes.
  • Organizational Skills:
    • Ability to manage multiple tasks and maintain proper documentation.
  • Adaptability:
    • Ability to work effectively in a fast-paced manufacturing environment.
