Job Description:
Role Purpose
The Marine Services Team manages a portfolio of clients and provides a wide range of services to meet the needs and expectations of these entities in accordance with relevant laws and regulations, including the TCB Code of Practice and internal policies and procedures.
The role of Senior Administrator is to take responsibility for the efficient administration of a portfolio of clients, attending to all aspects of the day-to-day management of these clients and ensuring that their affairs, expectations, and those of associated intermediaries are managed in the most expedient and commercial manner.
The role holder will provide support to the Associate Director in business development and will also develop and support less experienced members of the team through sharing knowledge and best practice.
Key Responsibilities
- Participate in team meetings addressing current work, outstanding work, and any other matters arising within or impacting the team.
- Administer a portfolio of varying degrees of complexity, ensuring the provision of technical expertise and guidance to meet client needs and expectations. Complete Client Due Diligence efficiently and ensure client profiles are kept up to date.
- Work with the team leader in an efficient and effective manner, consulting as required to ensure technical accuracy in service delivery.
- Provide direct assistance and guidance to junior members of the team.
- Communicate with clients, preferably by phone, building and maintaining strong relationships with clients and their advisers.
- Prepare resolutions for companies and trusts as required.
- Prepare and file all statutory returns and submissions, ensuring that clients' statutory records and registers are accurately maintained and up to date.
- Issue and settle fee notes within agreed billing timescales and manage client debtor positions through regular review.
- Prepare and submit payments to authorised signatories and ensure payments are released before bank cut-off times.
- Keep the line manager informed of developments in the portfolio and escalate technical, risk, or compliance matters as required.
- Obtain live foreign exchange rates in a timely manner and promptly execute transactions and communication with clients.
- Ensure compliance with Anti-Money Laundering (AML) and Know Your Client (KYC) obligations at all times, in accordance with internal policies and procedures.
- Proactively involve senior management when issues arise that may incur additional time or cost beyond normal expectations.
- Meet CPD requirements by completing relevant training, including business-required and digital skills training.
- Maintain a strong and current understanding of issues affecting the fiduciary industry.
- Support change initiatives and contribute to maintaining high-quality standards and timely service delivery.
Qualifications
- University degree preferred
- Table 4 or 5 professional qualification (e.g. legal, accounting, or trust), with relevant post-qualification experience or additional qualifications (e.g. LLB, ACA, STEP)
- Strong knowledge of regulatory requirements relating to Trust Company Business
- Thorough understanding of best practices in anti-money laundering and corporate governance
