Legal Administrator – Guernsey

Our client are seeking a highly organised and proactive Legal Administrator to join their Guernsey office. Working side by side with fee earners, you will provide comprehensive administrative support alongside junior fee‑earning assistance, helping the team deliver efficiently against their targets.

This is an excellent opportunity for someone with strong administrative skills, a flexible approach, and an interest in developing within a legal environment. As an integral member of the central support team, you will also play a key role in ensuring the smooth day‑to‑day operation of the office.

Key Responsibilities

  • Providing a full administrative and support service to fee earners, including relaying messages and managing email inboxes, diaries, and appointments.
  • Taking responsibility for tasks and projects focused on improving efficiency and data management across the team.
  • Undertaking administrative tasks relating to local Probate work and proactively identifying opportunities to support chargeable work on probate and more general matters.
  • Assisting with the arrangement of local business development events and off‑island trips, including travel, accommodation, and meeting logistics.
  • Supporting the wider Guernsey support team with the smooth running of the office, including answering phones, managing post, assisting at reception, and providing cover during lunch and busy periods.
  • Arranging all practical aspects of client meetings and conference calls, including room preparation and welcoming clients.
  • Working closely with colleagues responsible for client take‑on to ensure new matters are opened accurately and managed correctly throughout their lifecycle.
  • Assisting with document and report preparation, proofreading, printing, scanning, and collating legal documentation.
  • Assisting with court bundling (both hard copy and electronic).
  • Liaising with the Court and Court Offices on behalf of fee earners.
  • Supporting monthly billing processes, WIP management, expense claims, and fee earner time entries.
  • Carrying out searches promptly and efficiently.
  • Assisting with legal research and analysis where required.
  • Undertaking any additional legal administrative tasks or projects as requested by Partners, the Office Manager, or fee earners.

Qualifications

  • Ideally educated to graduate level, or A‑level (or equivalent) with strong grades.
  • An administration or secretarial qualification would be advantageous.

Knowledge, Skills & Experience

  • Previous experience in a professional services environment, ideally legal (though not essential).
  • Confident IT user with strong working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.
  • Experience using document management systems is an advantage.
  • Excellent typing and document formatting skills.
  • Highly organised with the ability to multi‑task and prioritise effectively.
  • Willingness and ability to learn and develop new skills.
