Trust Administrator

 Job Description:

You will work as part of a welcoming and supportive team who are responsible for administering a varied portfolio of clients. You will be responsible for the effective and efficient administration of a portfolio of structures of varying complexity, dealing with clients and intermediaries daily.

We expect, at this job level, with the support and guidance of your management team, you will deliver the following: -
Daily input of timesheet.
Meet utilisation target allocated (currently 85%).
Be responsible for the management of your WIP, ensuring that write offs are kept to a minimum.
Will hold or be studying towards a Table 5 Qualification.

Provide excellent levels of client service in line with standards, procedures and guidelines.
Maintain and update client documentation accurately.
Take responsibility for your own personal development, in line with agreed annual performance objectives.
Be a role model and ambassador.

Client Administration
Responsibility for the administration of a portfolio of trust and company structures.
Maintaining the highest standards of administration including the periodic production of reports/analyses to third parties.
Drafting/preparing documents i.e. minutes/resolutions as appropriate.
Liaising with clients, intermediaries and other professional advisers.
Attending client meetings with client directors and managers.
Providing excellent service through building and maintaining long term relationships.
Optimising client potential and deliver a consistent, seamless client experience.
Maintaining client confidentiality.
Such other duties as the management may at times reasonably require.

Financial
Daily completion of timesheet with accurate narratives.
Achieve financial target as determined by management (currently 85% of utilisation target).
Prepare payment instructions including for online banking systems, with supporting documentation.
Be responsible for your WIP, ensuring that write offs are kept to a minimum.
Understand the different requirements/process for payments, including for high-risk clients.
Monitor for receipt of funds and providing confirmation when received.
Be responsible for the billing process for your client portfolio.
Send out invoices to clients and settle invoices.

General Administration
General administration duties will include a range of tasks that are essential for the efficient running of our business.


Compliance and Risk Management
Request and maintain up to date CDD documentation for your client portfolio.
Understand what is appropriate and acceptable in relation to CDD and risk and
escalate concerns to your Manager.
