Senior Fund Administrator
Job Description:
The Senior Fund Administrator is responsible for the day-to-day administration of a portfolio of primarily complex funds client structures. The role serves as the principal operational and relationship contact for clients, delivering a high-quality, compliant, and commercially aware service. The postholder works with limited supervision, exercising sound judgement, supporting the Fund Manager, Fund Associate Director and Fund Client Director in broader relationship management, and contributing to strong governance, risk management, and professional standards across the Fund Team.
Key Result Areas
Act as the primary day-to-day contact for an assigned portfolio of complex fund and corporate clients, taking ownership of all administrative matters including investor reporting, statutory records, cash management, investment transactions, capital activity (calls and distributions), and investor communications, ensuring service standards are consistently achieved.
Maintain effective relationships with clients, intermediaries, banks, agents and the JFSC registry, and organise and lead board meetings including quorum confirmation, agenda preparation, circulation of documentation and accurate minute-taking.
Ensure client structures operate in compliance with applicable legislation, regulatory requirements and internal policies, identifying and documenting Trigger Events and completing required compliance reviews and checklists.
Support and oversee regulatory obligations including FATCA and CRS reporting, ongoing KYC maintenance, static data updates, sanctions screening, NRA-related actions and the accurate, timely filing of confirmation statements and other regulatory submissions.
Review and process payment instructions in line with internal controls, applying enhanced procedures where required for high-risk or sanctioned clients.
Review administrator outputs including payment instructions and receipt inventories, monitor WIP and aged debt, and support timely billing and invoice circulation.
Review financial statements and coordinate audit processes (including regulated audits), attending audit meetings independently, managing PBC requests and ensuring deadlines are met.
Provide technical guidance and day-to-day support to junior team members, delegate tasks appropriately while retaining oversight and responsibility for quality and accuracy of deliverables.
Maintain accurate and up-to-date records across transactions, investor communications and regulatory filings, use core systems (including Allvue and Microsoft Teams/Planner) effectively, contribute to process improvements and support new business onboarding activities, including entity establishment and regulatory updates.
Assist with new business onboarding, completing checklists, establishing profiles and entities, and ensuring all regulatory requirements are addressed (including updates to JFSC records, nominated persons, and registered office details).

Person Specification
Qualifications
Studying toward or willing to undertake a relevant professional qualification (e.g., ICSA/CGI, STEP, or equivalent per Table 4).
Experience
Strong working knowledge of Jersey finance industry legislation, regulatory requirements, and market practices.
Minimum of 4 years' relevant industry experience, with at least 3 years managing own client portfolio, ideally with corporate client exposure.
Experience managing complex workflows, competing priorities, and demanding deadlines.

Strong communication, organisational and relationship-management skills.

Good understanding of fund structures, governance requirements, transactions, and investor reporting
High level of accuracy, responsibility, and professional judgement, with the ability to work independently.
